Terms & conditions for online booking

Arctic Guide Service AS is responsible for all customers that booked an excursion from us.

We will ensure, that you receive relevant information before your arrival/tour and that we will contact you in the event of any major changes to your booking. Should there be a need to contact us before or during your trip, then we are available from Monday to Friday 9:00 a.m. to 4:00 p.m. We can be contacted by phone or email:

Terms and conditions

Your booking is confirmed when you receive a confirmation e-mail with a booking reference number. We recommend all our guests to print this confirmation and bring it with you when you arrive for your stay/tour. A minimum age of 18 applies to make a booking through Arctic Guide Service AS.

Payment and security

The payment is processed at the time of booking. Arctic Guide Service AS is responsible for the actual transaction and for ensuring that the correct amount is charged to your card. All personal data and credit card information is handled on an encrypted site (SSL 128 bit), so all information provided is secure. Only Arctic Guide Service AS will have access to your name and contact details. These will be used to inform you of major changes or cancellation of your booking.

Cancellation/changes by the guest

To cancel or change your booking, please contact Arctic Guide Service AS. All cancellations must be sent via e-mail to our support team (for den gjeldende destinasjonen).

Arctic Guide Service AS has no control over the exchange rate that will be calculated for refunds to credit cards and is not responsible for any loss incurred. Please note that Arctic Guide Service AS does not pay any bank fees incurred for international transfers. This fee (approx. 200 NOK per international transfer) will be deducted from the amount to be refunded.

The following cancellation fees and deadlines apply

  • A full refund is provided for cancellations made more than 14 days prior to the arrival date/tour date
  • 50% of the total amount is refunded for cancellations made 7-14 days prior to the arrival date/tour date
  • No refund is provided for cancellations made less than 7 days prior to the arrival date/tour date

NO SHOWS
Please note that no-show or missed departures are not refundable. For any reasons that may result in that you or your party are prevented from participating in a tour our policy offers 0% refund. In case of illness or other medical conditions we refer to our standard cancellation and refund policy. We highly recommend our guest to have travel insurance that will cover the expenses in events like these.

Private groups: If you or your party for any reasons fails to appear without prior notice 100% of the agreed fee will be charged.

Insurance/cancellation protection

We recommend all our guests to ensure they have good insurance before commencing their trip in case of illness, lost luggage, accident, liability, etc.

Cancellations/major changes by Arctic Guide Service

Cancellations or major changes may occur due to:

  • conditions that are beyond our/our supplier’s control, e.g. weather, accidents/breakdowns, strikes etc.
  • conditions for the booking not being met, e.g. minimum number of participants etc. A minimum of six full-priced participants applies for most trips, but this may increase for special tours. Should this type of cancellation / major change occur, you will be offered an alternative. If you do not accept the alternative, we will provide you with a 100% refund. However, in the interests of ensuring the best possible experience for you, we reserve the right to make minor adjustments due to weather, snow conditions etc.

Photo policy

All photographs taken during our excursions might be published by Arctic Guide Service. Unless differently agreed upon written request, the client acknowledges that all photographs taken during the tour can be publicly displayed and put for sale by Arctic Guide Service. If you do not want your pictures to become property of the photographer and of Arctic Guide Service please do not pose for our guides and photographers.

You may not lease, sell or re-distribute, publish or use for any commercial or public purpose any Arctic Guide Service images unless an extended license for product resale or a special license with free rights for the image was purchased. You can use Arctic Guide Service images for any personal projects without time, location, or number constraints.

You are not allowed to use Arctic Guide Service images in any way that places the photographer or people in the photo in a bad light. You are not allowed to use Arctic Guide Service images in any manner that is considered libelous, slanderous, defamatory, obscene, indecent, or illegal.

Claims, complaints etc.

If you should encounter any problems or deviations, then please contact Arctic Guide Service AS as soon as possible. If we are not able to reach agreement, you can contact the Complaints Committee for Corporate Travel, PO Box 2924 Solli, 0230 Oslo. For more information, see:
