Terms and Conditions for Online Booking

Arctic Guide Service AS is responsible for all customers who have booked a tour/activity with us. We’ll make sure you receive relevant information before arrival/before your tour, and we’ll contact you if there are major changes to your booking.

Booking Terms

Your booking is confirmed when you receive an email confirmation with a booking reference number. We recommend bringing this confirmation to your tour. You must be at least 18 years old to book with Arctic Guide Service AS.

Payment and Security

Payment is processed at the time of booking. Arctic Guide Service AS is responsible for the actual transaction and for ensuring the correct amount is charged to your card. All personal data and credit card details are handled on an encrypted page (SSL 128-bit), so the information you provide is secure. Only Arctic Guide Service AS will have access to your name and contact information, which is used solely to notify you of major changes or cancellations to your booking.

Cancellations / Changes by the Guest

To change or cancel your booking, please contact Arctic Guide Service AS. All cancellations must be sent by email to the relevant destination office.

Arctic Guide Service has no control over exchange rates applied to credit card refunds and is not responsible for any loss resulting from currency conversion. Please note that we do not cover bank fees on international transfers; this fee (approximately NOK 200 per international transfer) will be deducted from the refund amount.

Cancellation deadlines and fees:

  • More than 14 days before arrival/tour date: Full refund
  • 7–14 days before arrival/tour date: 50% refund
  • Less than 7 days before arrival/tour date: No refund

Changes made by the guest are considered cancellations. Please note that if you do not show up or miss the departure time, no refund will be issued. We do not offer refunds if guests are unable to participate in a tour, regardless of the reason.

Travel Insurance / Cancellation Protection

We strongly recommend that all guests have adequate travel insurance before departure (for illness, lost luggage, accidents, etc.).

Cancellations / Major Changes by Arctic Guide Service

Cancellations or significant changes may occur due to:

  • Circumstances beyond our or our suppliers’ control (e.g., hazardous road conditions, accidents, strikes, etc.)
  • Booking conditions not being met (e.g., too few participants). For most tours, a minimum of six full-fare participants is required.

If a cancellation or major change occurs, you will be offered an alternative. If you do not wish to accept the alternative, you will receive a 100% refund. We reserve the right to make minor adjustments due to weather, snow conditions, and similar factors to ensure a good experience.

Photo Policy

Photos taken during our excursions may be published by Arctic Guide Service. Unless otherwise agreed in writing, the guest accepts that photos taken during the tour may be displayed or sold by Arctic Guide Service. If you do not want photos of you to become the property of the photographer and Arctic Guide Service, please do not pose for our guides or photographers.

You may not sell or distribute Arctic Guide Service photos, or use them for commercial or public purposes, unless you have purchased a product-sales license or a special license granting such rights. You may use Arctic Guide Service photos for personal projects without limitations on time, place, or number of uses.

Claims and Complaints

If you experience any problems or errors, please contact Arctic Guide Service AS as soon as possible.
